Administrative Assistant Job Description

Position Overview

Devanadi School of Yoga & Wellness is looking for an organized, efficient, customer-service focused team member to handle administrative tasks and serve as the primary support to the Executive Director, Devanadi faculty and guest teachers. The position will start off part-time with the possibility to grow into a full-time position for a candidate with the right skill set.

Responsibilities and Duties

  • Serve as the number one support to the Executive Director
  • Manage online training, class, and workshop schedule including updating website, MindBody Online, Facebook and other social media channels
  • Respond to incoming general communication and inquiries via phone, email, website and Facebook and provide information, answer questions or connect interested parties with the correct faculty member to assist them and follow-up to ensure the student/customer has been taken care of
  • Manage Devanadi School of Yoga & Wellness profile on Yoga Alliance website
  • Communicate with students and alumni and maintain update to databases, Constant Contact and MindBody Online
  • Manage communication with students regarding upcoming trainings and events
  • Prepare, order and assemble all training materials
  • Set up payment plans with students and process monthly payments
  • Manage the sales, inventory, merchandising and product ordering of the Devanadi retail operation
  • Processing of new student applications – including checking for completeness and communicating with prospective students regarding the status of the applications
  • Assist with trainings and special events which may include preparing the space, communication with participants, marketing, organizing materials and assisting faculty and participants

Position could grow to include the following responsibilities:

  • Manage social media accounts – Facebook, Twitter, Instagram, Pinterest
  • Write/curate and publish monthly newsletter
  • Design marketing flyers for events and training
  • Manage rental agreements and wellness services appointments
  • Coordination of all special events and trainings

Skills Required

  • Organized with high level of attention to detail, quick-thinking, problem solver, self-starter
  • Able to manage multiple on-going projects
  • Excellent communicator – both verbal and written with an understanding of the importance of being responsive and timely and thorough follow-up with people
  • Track record of 5 star customer service skills

Education and Qualifications

  • High school graduate
  • 3+ years of experience as an administrative or executive assistant
  • Experience with MindBody Online software is a big plus
  • Yoga and wellness interest and background is also a plus
  • Social media background, marketing and design experience could mean a larger role within the organization


  • Pay range: $15-20 an hour depending on experience
  • Start date is flexible, but we’d like to have someone in the role by Jan. 29, 2018
